01 · Build the structure

Divide costs into two practical groups

Stay-level variable costs can be linked directly to a booking. Property-level operating expenses belong to running the home but not necessarily to one guest.

Do not mentally net off the cleaning fee

It is tempting to think, “I charge €60 for cleaning and pay €60, so they cancel out.” Record both movements.

They may not cancel every month. The provider can raise the price, an exceptional clean may be required, fees may vary by stay length and laundry may be billed separately. Separate records make that difference visible.

03 · Preserve the signal

Extraordinary expenses are information, not noise

A €900 repair can destroy one month’s margin without proving that the property is structurally weak. It proves that the month contains an event you need to see.

A twelve-month trend helps you distinguish a one-off event from a recurring operating problem.

04 · Protect the comparison

Assign every expense to the right property

If you manage several homes, avoid one unassigned cost bucket. A property with more maintenance, laundry or replacements should carry those costs in the comparison.

Otherwise, an efficient property can hide the weak performance of another.

05 · Include judgement

Remember the work you do yourself

If you personally handle cleaning or maintenance, the cash record may contain no invoice. Your time still has an opportunity cost when you compare operating models.
